A card receivable that matches, every day

The POS system books the day’s takings. The card money arrives a few days later with the fee taken off. Someone has to pair them up and book the fee. Usually the accounting firm does it by hand, for every shop and restaurant. Diffa does it for you.

The problem

  1. The till sends the Z report to the books every evening. The day’s card sales, say SEK 3,045, land on the card receivable against sales and VAT.
  2. The acquirer pays out a few days later and only the net, SEK 3,011.96. The bank line names the acquirer, not the day the money is for.
  3. Someone searches the account analysis for the card receivable, guesses from the amounts which day’s takings it is and books the fee and the rest by hand. Every day, for every shop. The guess breaks when one payout covers a whole weekend or a day’s takings were corrected.

For accounting firms

A firm with ten shops and restaurants reconciles the card receivable ten times a day. With Diffa the firm adds the clients itself, approves the accounts once per acquirer and sees in the firm view whose payouts add up and whose need a look. The firm chooses how it is paid for. The firm pays Diffa per client and can charge the client for the reconciliation as a service of its own. The client can also have its own subscription and invite the firm. How a firm works in Diffa.

How Diffa solves it

Diffa never books the sales again. The till already did it with the right VAT, so a purchase in the shop is counted in the payout but not written.

Diffa reads the acquirer’s payout with every purchase in it and books the fee against the same card receivable the till used. Exactly the amount paid out is then left on the receivable. The bank deposit clears it.

The pairing is made from the acquirer’s own list of the purchases in the payout, not from amounts. A weekend with three days of takings in one payout therefore adds up. A return at the till is counted off the same way.

If you also sell online through the same acquirer, Diffa books the online purchases as usual with sales and VAT. The shop’s purchases are counted but not booked. Both can be in the same payout.

The same account as the till

The card receivable in Diffa should be the account your till books card sales to. You choose it when you approve the accounts, so the receivable comes down to zero instead of being split over two accounts.

Which acquirers and tills

The till books the sales and Diffa matches the acquirer’s payout to the card receivable. Yabie belongs here. The till books the sales and Diffa books the Yabie Pay commission. As an option Diffa can book Yabie’s Z report.

If no other till books the sales, Diffa books the till itself. Zettle’s sales are booked per VAT rate from the till’s receipt. SumUp’s sales are booked per VAT rate when the purchase reports a breakdown, otherwise at the Swedish VAT rate you set for the source. The fee is booked without VAT.

Example

The payout on 23 September is SEK 3,045 at the till, SEK 33.04 in fees and SEK 3,011.96 to the bank. This is the voucher from Diffa.
