Book orders and inventory from Shopify
Diffa reads the orders and inventory in Shopify and books the sales with VAT per line and the inventory value every month, whatever the payment provider.
Orders and inventory in Shopify
Diffa installs as an app in the store and reads the orders with every line, tax code, discount, shipping and delivery country. Sales are booked on the day the order ships. The money comes through the payment provider, for example Shopify Payments, Klarna or PayPal, which are connected as separate sources.
Inventory is read at each month end: quantity in stock times purchase price per variant. Diffa books the change against the inventory value in the books, so that the inventory follows the store.
How Diffa books it
The sale is booked from the order on the day it ships, line by line. The VAT is taken from the order lines: Swedish VAT, OSS VAT for consumers in other EU countries or no VAT, depending on what was sold and where it is shipped. Amounts in other currencies are converted at the Riksbank’s rate. The sale is set against the receivable from the payment provider that took the payment; the fees and the payout are booked from the payment provider. Diffa never books bank lines.

In your accounting software
Shopify in Fortnox
You log in to Fortnox from Diffa and approve the connection. The orders from Shopify become vouchers in the series you choose with VAT per line. The change in inventory is booked every month.
Shopify in Spiris
You log in to Spiris from Diffa. Diffa reads the chart of accounts and suggests accounts for sales, OSS and inventory. It then books the orders and the change in inventory as vouchers.
Shopify in Bokio
You log in to Bokio from Diffa and choose a company. The orders from Shopify become vouchers with VAT per line. Inventory is booked every month. Bokio itself has had no Shopify integration since November 2024.
Shopify in Björn Lundén
You paste the key from Björn Lundén into Diffa. The orders from Shopify become vouchers in BL with sales and VAT per line. The change in inventory is booked every month.
Common questions
- Why does Diffa read the orders and not just the payout?
- The payout says how much money came in, not what was sold. The order has the lines, the tax codes and the delivery country that determine the VAT. The inventory in the store determines the inventory in your books.
- When is an order booked?
- On the day it ships. An order that is paid but not shipped appears in the reconciliation but is not booked yet.
- How is the inventory value calculated?
- Quantity in stock times the purchase price per variant at month end. Variants without a purchase price wait for you before inventory is booked.
